How to Set Up Make for Your Team

Set up a Make organization and team, invite people with the right roles, check region and timezone, and build three first scenarios for your office.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • Make groups people into an organization and then into teams. Roles exist at both levels.
  • The organization region decides where data is stored and cannot be changed after you create the organization.
  • Invitations expire after 7 days, so resend any that were not accepted.
  • A new scenario starts inactive. Set a schedule and switch it on before it runs on its own.

By the end of this walkthrough your team will have a Make organization with a team, roles, and one scenario that runs on a schedule. Make builds automations called scenarios on a visual canvas. This guide covers account setup and three starter scenarios.

Before you start

Choose one owner for the organization. Decide which data region you need, because Make says you cannot change it later. Have the email addresses of your teammates ready, and list the apps you want to connect.

Make’s pricing page names the Free, Core, Pro, Teams, Business, and Enterprise plans. It does not show prices on the plan cards, so see the current price on that page.

Plan What it adds for a team Price as listed
Free 1,000 credits per month, 1 data store $0
Core, Pro, Teams More credits, named on the pricing page See the current price on the Make pricing page
Business Start-up Plan gives 50% off for organizations under 20 employees See the current price on the Make pricing page

Create the account and workspace

Make’s first app guide starts after you sign in. New organizations start on the Free plan with one team named My Team, according to the organizations article.

  1. Sign up or sign in to Make and open the main dashboard.
  2. Pick the organization region and timezone when you create the organization. The timezone controls scheduling.
  3. Click your username in the top-right corner and select Organization settings to review the details.
  4. Open the Make pricing page if you need a paid plan, and choose the one that fits.

Invite your team

Only an organization owner or admin can add users. These steps come from Make’s teams article.

  1. In the left sidebar, click Org.
  2. Open the Users tab. Enterprise accounts see Org Users.
  3. Click +Invite user.
  4. Enter the email and name, then select a role and a team.
  5. Click Save.

The invitee gets an email with a button to accept. To add a new team first, click Org, open Teams, click +Add team, name it, and click Add.

Make names these organization roles: Owner, Admin, Member, Accountant, App Developer, and Guest. The team roles are Team Admin, Team Member, Team Operator, Team Monitoring, and Team Guest. A Team Operator can activate, deactivate, and schedule scenarios but cannot edit them. That role suits someone who only needs to switch things on and off.

Set the admin and data settings

Make’s organizations article lists these items worth checking.

  • Region: It sets where data is stored and processed, with US or EU as the choices.
  • Timezone: It controls scenario scheduling and date parsing.
  • Teams and roles: Confirm each person sits in the right team with the right role.
  • Pending invitations: They expire after 7 days. Remove and resend any that are still open.

On AI, Make says its AI Toolkit does not store your data and does not use it to train the AI. It says interaction logs stay in scenario logs for 30 days. That statement covers the toolkit only, so check the terms of any AI provider you connect.

Connect your other apps

Make’s first app guide says you must create a Google Sheets connection before you set up the trigger. The page does not give the connection steps, so follow the prompts in the module. For email, chat, or a CRM, click the large plus on the canvas and search for the app by name. Pick the module you need from the list that appears.

Tasks to try first

Start every scenario the same way. Click + Create a new scenario, click the default name to rename it, click Save, then click the large plus in the canvas. To schedule it, click the “Every 15 minutes” control in the toolbar. Make says a new scenario is inactive until you turn it on.

Alert the team about new prospects

Use this when prospects land in a spreadsheet and nobody sees them quickly.

Scenario name: New prospect notification
Module 1: Google Sheets > Watch New Rows
Module 2: your chat app > a module that sends a message
Message: New prospect: {Name}, {Email}, {Source}
Schedule: At regular intervals

Send a daily summary at a set time

Use this when the owner wants one message each morning instead of many alerts.

Scenario name: Morning summary
Schedule type: Daily
Run time: 08:00
Module 1: Google Sheets, a module that reads rows
Module 2: your email app, a module that sends an email
Body: Rows added since yesterday, listed by name

Run a scenario only when you ask

Use this when a task is occasional, such as a monthly export.

Scenario name: Monthly export
Schedule type: On demand
Start it with: the Run once button

If you choose on demand, Make says the scenario runs only when an API call or the Run once button starts it.

Frequently asked questions

What is the difference between an organization and a team in Make?

Make's help center says an organization structures teams, access, and credit use. A team groups users and assigns roles that control access to scenarios.

Can I change the data region of my Make organization later?

Make's help center says the region sets where data is stored and processed, and you cannot change it after the organization is created. Pick it carefully when you set up.

How do I stop a Make scenario from running every 15 minutes?

Make's help center says a new scenario runs every 15 minutes by default. Click that control in the Scenario Builder toolbar to open Schedule settings and pick another schedule, such as daily or on demand.

  • We do not score or rank tools. We say who each one suits and who it does not.
