Key takeaways
- Grammarly Pro covers team use for up to 149 members, with one payment for all seats and an admin account to manage them.
- Invite people from the Members page, one by one, from a file, or with a link if your team uses a company email domain.
- Check the Invite Settings page so that only people you invite can join your account.
- Individual users can turn off Product Improvement and Training in their account settings.
By the end of this guide your team will have one Grammarly plan with a named admin, invited members, sensible privacy settings and the apps installed where people write. This is the setup for Grammarly as a shared team tool, not a pile of personal accounts.
Before you start
Choose one owner for the account. The admin role gives full control of billing, members and roles, so pick someone who will stay with the company. Have a list of your team’s work email addresses ready.
| Plan | What it adds for a team | Price as listed |
|---|---|---|
| Free | Basic writing checks, tone visibility and a monthly allowance of AI prompts. No team features | $0 per month |
| Pro | Team features, roles and permissions, Team Analytics, 2,000 AI prompts per member per month, one style guide and one brand tone | See the current price on the Grammarly plans page |
| Enterprise | Custom roles, SAML single sign-on, SCIM, audit logs API and dedicated support | Through sales |
According to Grammarly’s Pro help article, Pro supports team use for up to 149 members and is billed as one payment for all seats. Plans can be monthly, quarterly or annual. Most small businesses will land on Pro.
Create the account and plan
Buy the plan with the admin’s work email so the subscription belongs to the company.
- Open the plans page and choose Pro.
- Sign in or create the account with the admin’s work email.
- Enter your payment details and the number of seats you need.
- Open the Members page in the admin console to confirm the admin account is listed.
Grammarly says a Pro plan is not available to people already on a Business or Education plan. If anyone on your team has one of those, sort that out first.
Invite your team
Grammarly’s invite article describes three ways to add people.
- Go to the Members page and click Invite members in the upper-right corner.
- To invite a few people, enter their email addresses and click Invite members.
- To invite many people, choose Import list, click Download template, add the emails to the file, then choose the file and click Continue and Confirm.
- To share a link instead, click Copy next to Invite by link. This works only for teams with their own company domain, not for addresses like @gmail.com.
- Tell each person to click the link in their invitation email, because they only join after doing so.
If invitations do not arrive, Grammarly suggests asking people to check spam and to add [email protected], [email protected] and [email protected] to their contacts.
New members get the User role. According to Grammarly’s roles article, an Account manager can manage style guides and writing settings, and an Admin has full control. To change a role, open the Members page, click the person, choose a role in the Role dropdown and click Save.
Set the admin and data settings
Start with the Invite Settings page. Grammarly says that if your settings let anyone with your company domain discover and join the team, people you did not invite can show up. On that page you can check Require admin approval or select Only invited colleagues can join your account. Read Grammarly’s explanation before you pick one.
On data, the Grammarly trust page says the company does not sell the content you upload. It also says users can stop Grammarly from using their content to train its models by turning off Product Improvement and Training in their account settings. The page does not describe an admin control that does this for a whole team, so ask each person to check their own setting. For a written rule on what staff may paste into any AI tool, see our guide to writing an AI use policy.
Connect your other apps
Grammarly’s install article lists apps for Windows, Mac, Chrome, Safari, Firefox, Edge, Microsoft Office, Google Docs and mobile. Ask each person to install the one where they write most, usually the browser extension. The help center does not give one team-wide install step for these, so follow the download link for each app.
Tasks to try first
Tidy a customer email
Use this when a reply is correct but sounds curt. In the Grammarly editor, click Goals and set the document domain to Email. Then set Audience and Formality to match the customer. Paste this into the AI prompt box:
Rewrite this reply so it is polite and plain. Keep every fact and date unchanged. Keep it under 120 words.
Make a proposal consistent
Use this when two people wrote different parts of one document. Paste the draft and ask:
Rewrite this section in the same tone as the first paragraph. Use short sentences and no jargon. Flag any claim that needs a source.
Agree a house style
Use this once, at kickoff, so every member sees the same suggestions. Set Goals to Business, then agree these choices as a team and write them down in a shared note:
Formality: [neutral or formal]
How we address customers: [first name or Mr/Ms surname]
Words we avoid: [list]
Share the note with every member. The plans page says Pro includes one style guide and one brand tone, so keep the rules short.
Common problems
Grammarly’s help center says invitations may not arrive until recipients check spam and add the sender addresses above to their contacts. It also says admins must unassign their admin role before they can leave a team, so transfer the role before an admin leaves the company.
Frequently asked questions
Who should be the admin of our Grammarly team?
Pick a person who will stay with the company, such as the owner or office manager. Grammarly's help center says the admin role has full control of the plan, including billing, inviting and removing members, and assigning roles. An admin must hand over the role before leaving the team.
How do I add a new employee to our Grammarly Pro plan later?
Open the Members page in the Grammarly admin console and click Invite members. Grammarly says you can add seats at any time and that new members are charged a prorated amount for the rest of the billing period.
Why did someone I did not invite show up in our Grammarly team?
Grammarly's help center says this happens when invite settings let anyone with your company email domain find the team and join. On the Invite Settings page you can require admin approval or allow only invited colleagues.
