Key takeaways
- Notion's pricing page lists Notion Agent and AI Meeting Notes on the Business plan at $20 per member per month. Free and Plus only show a limited trial of Notion AI.
- Invite people from Settings, then the Members tab, and choose Workspace owner, Membership admin or Member.
- Workspace owners can set a credit limit for each person and decide which high-credit AI models are on.
- Notion says that by default neither it nor its AI providers train models on customer data.
By the end of this guide you will have a shared Notion workspace where the team can use Notion AI, with an owner, invited members, AI spending limits and your first connected apps. Notion AI works inside Notion, so the setup is about the workspace first and the AI second.
Before you start
Pick one person to be the workspace owner. Owners control AI model availability and member credit spend, so choose someone who will stay. Have your team’s work email addresses ready.
| Plan | What it adds for a team | Price as listed |
|---|---|---|
| Free | Limited trial of Notion AI, Custom Agents free to try | $0 per member per month |
| Plus | Limited trial of Notion AI | $10 per member per month |
| Business | Notion Agent, AI Meeting Notes, Enterprise Search (Beta), SAML single sign-on | $20 per member per month |
| Enterprise | Zero data retention with AI providers | Custom |
These prices come from the Notion pricing page, which says yearly billing saves up to 20%. The page says Custom Agents are free to try and then cost $10 per 1,000 monthly Notion credits. For a team that wants more than a trial of AI, the Business plan is the one the page lists with Notion Agent.
Create the workspace
Notion’s help pages do not walk through sign-up, so follow the on-screen prompts when you start.
- Open the pricing page and choose a plan.
- Sign up with the owner’s work email.
- Create the workspace and move your team’s key pages into it before you invite anyone.
Invite your team
The Notion Help Center describes several ways to add people.
- Go to Settings, then People or Members (the name depends on your plan), and open the Members tab.
- Select Add members and enter the person’s email address.
- Choose a role from the dropdown. The roles are Workspace owner, Membership admin and Member.
- Press Invite. The person gets an email with a sign-in link.
To let anyone with your company address join, go to Settings, then General, and add your company domain under Allowed email domains. Notion says those people join as members and you are billed for them. If you copy an invite link, anyone who opens it joins as a paid member. You can turn that off with the Invite link toggle.
For outside people such as a bookkeeper, add them as guests. Open the page, select Share, enter the email, choose an access level, press Invite and select Skip for now. Guests only see the pages shared with them.
Set the admin and data settings
Open Settings, then Notion AI, as an owner. According to the Notion Agent page, high credit consumption models are off by default and an owner turns them on here. Owners can also set a credit limit for each person. This is the main way to keep AI spending predictable.
On data, the Notion AI security page says that by default customer data is not used to train models, and neither Notion nor its AI providers train on it. Models that do not offer zero data retention are off by default and the workspace owner must opt in to use them. For Free, Plus and Business, the page says AI providers keep data for 30 days or fewer and then delete it. Enterprise is listed with zero data retention for most models. If your work involves health or legal data, read that page in full and agree a rule in your AI use policy.
Connect your other apps
Notion AI connectors live under Settings, then Notion AI, then AI connectors. The agent page names Slack, Gmail and Calendar.
- For Slack, connect your own Slack account when prompted. The agent can only reach what you can already see in Slack.
- For Gmail, connect it under AI connectors. Notion says write actions such as sending ask for confirmation first.
- For Calendar, connect it the same way to schedule from chat.
If a feature is missing, the page says to ask a workspace owner to enable the model or raise your credit limit.
Tasks to try first
Summarize a client meeting into actions
Use this after a call when notes are messy. Paste the notes into a page, then open the agent and run:
Read the meeting notes on this page. List the decisions made, then a table of action items with owner and due date. If a due date is missing, write "not set". Do not add anything that is not in the notes.
Build a standard operating procedure
Use this when a task lives only in one person’s head.
Turn these rough steps into a numbered procedure for a new employee. Add a short "before you start" list and a "common mistakes" list. Keep each step to one sentence.

Draft a weekly update from a project database
Use this when you track work in a Notion database.
Look at the project database on this page. Write a weekly update with three sections: done, in progress and blocked. Keep it under 150 words and list each item once.
Common problems
If a teammate cannot use a model or feature, Notion’s agent page says to ask a workspace owner to enable the model or raise their credit limit. Agents also cannot manage workspace settings such as member roles, billing or security, so those changes always go through an owner or admin.
Frequently asked questions
How do I add a teammate to our Notion workspace?
Go to Settings, open People or Members depending on your plan, and open the Members tab. Select Add members, enter the email address, choose a role and press Invite. Notion says paid plans charge per member.
How do I limit how much AI each person can use in Notion?
Notion's agent help page says workspace owners can set a credit limit for each person. Owners also turn high credit consumption models on in Settings, then Notion AI, because those models are off by default.
Does adding a guest to a Notion page cost a seat?
Notion says guests have page-level access only and are added through the Share button on a page. Members on paid plans are charged per member, so select Skip for now when sharing a page if you want the person added as a guest and not a member.
